About the Role
Reporting to the Manager, Business Operations, Programs and Planning, the Administrative Assistant will provide day-to-day administrative support to the Chief Executive Officer’s Office. The successful candidate will help coordinate executive activities, manage internal and external correspondence, facilitate meetings, and ensure administrative processes run efficiently.
The role also involves supporting senior executives with logistics for meetings, processing office requisitions, coordinating advances and claims related to official engagements, and assisting with the organisation of Quarterly Business Review (QBR) sessions and executive committee meetings.
Key Responsibilities
The successful candidate will be expected to:
- Process requisitions for the CEO’s Office.
- Coordinate executive meetings, projects, and corporate events.
- Support the planning and logistics of Quarterly Business Review (QBR) meetings.
- Organise bi-weekly Executive Committee meeting arrangements.
- Handle correspondence between external stakeholders and internal teams.
- Process advances and claims relating to official meetings.
- Develop and improve administrative processes and office procedures.
- Handle confidential information with discretion and professionalism.
- Respond to non-technical enquiries from internal and external stakeholders and escalate issues where necessary.
Eligibility Requirements
Applicants should possess:
- A bachelor’s degree, preferably in the social sciences.
- Strong written and spoken English communication skills.
- Between one and three years of relevant administrative or executive support experience.
- Experience working within a medium-sized organisation.
- Excellent organisational, coordination, and stakeholder management abilities.
