JOB DESCRIPTION

Essential Duties

  • Calendar Management: Manage meetings, appointments, and events with efficiency and accuracy.
  • Meeting Preparation and Coordination: Coordinate and schedule meetings, including but not limited to QBRs, Monthly Ops reviews, Board Meetings and other leadership meetings and prepare and circulate meeting agendas and materials and take minutes.
  • Travel Arrangements: Arrange and coordinate local and international travel, including flights, accommodations, and transport, within the travel budget. Prepare thorough travel itineraries and make all the arrangements smooth.
  • Documentation Support: Prepare presentations, reports, spreadsheets, and other documents when necessary. Maintain confidential hard and soft filing systems.
  • Office Efficiency: Help make the Executive office overall more efficient through streamlining of administrative processes, handling incoming correspondence, and ensuring the Executive office’s efficiency.
  • Project Assistance: Help on special projects with research, data collection, and the concise presentation of findings. Track deadlines, deliverables, and project status.
  • Event Planning: Assist in planning and coordinating company events, meetings, and off-site functions.
  • Expense and Budget Management: Reconcile and manage expense reports and Executive office budgets, monitor them.
  • Confidentiality: Use discretion when dealing with sensitive information and maintain highest confidentiality.

Responsibilities

  • Provides senior-level tactical assistance for strategic business initiative conception and implementation.
  •  Develops innovative ways to keep the leadership and employees in touch
  •  Facilitates action item and priority implementation as decided by EXCO
  • Prepares, updates, and submits clear & concise activity/progress reports and time recording/management report.
  • Maintains multiple demands/projects simultaneously and has good working relationships with business leaders.
  • Organizes EXCO meetings, calendars, prepares and/or edits presentations and speeches.
  • Represents leadership in meetings and workshops
  • Manages billing, invoices, budgets, expense reports and purchase orders for the CEO and the EXCO members.
  • Reviews documents and records (e.g., requisitions pending, historic buys, PO’s, stocks, etc.) with a view to verifying completeness and accuracy of buying process.
  • Coordinates and arranges all Exco travel and oversees and reports upon it
  • Prepares/drafts/revises documents for Market Exco meetings, Ops Reviews, Group Board Packs, Financial packs, Annual Sustainability Report, Customer briefing notes, etc.
  • Assists line manager as required.

Supervisory Responsibilities

  • Co-ordination of support staff for CEO and visiting executives

Qualifications

  • Bachelor’s degree in management and social sciences
  •  Minimum three (3) years senior administrative/technical support experience required.
  •  Previous experience working and supporting senior management/ executives’ capacity is required.
